Before Entering an Event

Participation in a race is physically strenuous and you should be confident that you are sufficiently fit and healthy enough to compete. You should not participate if you have any health concerns. Deal Tri, and anyone acting on its behalf, cannot be held responsible for any injury or illness that a competitor may suffer as a result of their participation in any of our events.

Race Cut Off Times

In order to protect the health and safety of competitors, marshals and others involved in the event, it may be necessary to enforce a cut off time. Events can take place in cold and windy conditions where marshals can become hypothermic easily, even when clothed suitably. Events can also take place in very hot conditions where hyperthermia is possible. As such, we reserve the right to remove competitors for safety reasons.

Removal of Competitors

We reserve the right to remove any competitor acting negligently or without due care and attention for the safety and enjoyment of other competitors. Any competitor removed for this reason will not be eligible for a refund.

Disabled Athletes

Unfortunately not all our events are suitable for disabled athletes but we invite any competitor with a disability who wishes to take part in one of our events to contact the event race director well beforehand indicating the nature of their disability and any special requirements or needs they may have on the day.

Headphones and Personal Music Players

Many of our events take place on open roads and it is important that marshals instructions can be heard and understood. We therefore strongly advise that for your own safety, you do not wear headphones or personal music players.

Refunds

Deal Tri organise a number of events each year. We are a local club who try to put in more to the sport than we take out and all the work we do to organise events is done by unpaid volunteers. We rely on support from a number of sources, such as RAYNET communications and St John Ambulance as well as local scout groups. RAYNET and St. John Ambulance rely on donations made by those using their services to ensure that they are trained and equipped appropriately. Any profit from our events is either used to support sport or is donated to charity. We are therefore unable to refund any race entry fees once accepted.

Transfer of Entries to An Alternative Event

The organisation of a race can start many weeks or months before race entries are accepted and therefore by the time you send in your entry, we will have already started to incur costs. This means we are unable to transfer race entries to an alternative event of ours. The situation is the same as if you had bought a ticket for a concert or a similar event.

Transfer of Entries to A Third Party

If you find yourself unable to take part in one of our events after you have entered, we will allow you to transfer your entry to another person under the following conditions:

The person you are transferring the entry to fills in a paper entry form for the race;

  • You, as the race entrant, write and sign a dated letter authorising the transfer;

  • Both are sent in the same envelope to the race entry administrator preferably before the postal closing date or brought along to the registration desk on the day;

  • Any additional affiliation fees are paid either in cash or by cheque payable to ‘Deal Tri Ltd’.

 

Race Cancellation

Please note that under UKA rules, if a race is cancelled due to safety reasons, there is no obligation on the club to refund any money or provide any alternative.

If it becomes necessary for us to cancel a race due to bad weather, we will make every effort to contact all competitors via email or text. We will also place a post on our website and in the event of inclement weather, we strongly recommend that you check this for up to date information. Competitors will be given the option to transfer their entry to a re-scheduled race, if there is one, or to have a refund. Please note that the refund will be for the entry fee less £2 for administration costs. Unfortunately if you enter online, we are unable to refund the additional charge made by the online company.

Data Protection

Please note that your details are stored on a computer for the purposes of race administration and race information only and will not be transferred to a third party, except the following:

 

  • The organisation providing the permit and race insurance (SEAA, England Athletics, British Triathlon Federation, British Cycling) will be provided with details of results, along with names and contact details of race entrants, where requested. This is to meet the requirements of the race permit and insurance;

  • Name, any club affiliation, race time and age category will be published in race results;

  • Medical details you pass to us may be passed on to our medical cover and radio communications organisation (usually St John Ambulance and RAYNET) for race day purposes. This is to ensure your safety at the event;

  • Officially authorised race photographers, who may send you proofs of photographs to your registered address.

Data will not be passed onto any other organisations by Deal Tri Limited.

Under the Data Protection Act you have the right to request the details held by the club. This must be done in writing to the race director with a small fee of £5 by cheque, made payable to ‘Deal Tri Ltd’. We will do our best to reply with 14 days of receipt of such a request and to also to correct any mistakes you find with a further 14 days of your notification to us.
